Please Read Carefully Before Booking

Welcome to The Grand Taj Banquet Hall. These Terms of Service govern your use of our venue and services. By booking or using our facilities, you agree to be bound by these terms.

1. Booking and Reservations

1.1 Booking Process: All bookings must be confirmed in writing with a signed contract and deposit payment.

1.2 Deposit: A non-refundable deposit is required to secure your booking date. The deposit amount will be specified in your booking agreement.

1.3 Payment Terms: Final payment is due 14 days prior to the event date. Events may be cancelled if payment is not received by the due date.

1.4 Guest Count: Final guest count must be confirmed 7 days prior to the event. You will be charged for the confirmed number or actual attendance, whichever is greater.

2. Cancellation Policy

2.1 Client Cancellation: Cancellations must be made in writing. Deposit is non-refundable.

2.2 Cancellation Fees:

  • More than 90 days prior: Deposit forfeited
  • 60-90 days prior: 50% of total contract value
  • 30-59 days prior: 75% of total contract value
  • Less than 30 days prior: 100% of total contract value

2.3 Force Majeure: The Grand Taj is not liable for cancellations due to circumstances beyond our control (natural disasters, government restrictions, etc.).

3. Venue Use and Conduct

3.1 Capacity Limits: Client agrees to adhere to maximum capacity limits for safety and regulatory compliance.

3.2 Prohibited Activities: Illegal activities, smoking indoors, open flames (except authorized candles), and damage to property are strictly prohibited.

3.3 Alcohol Service: All alcohol service must comply with British Columbia liquor laws. The Grand Taj reserves the right to refuse service to intoxicated guests.

3.4 Decorations: All decorations must be approved in advance. No nails, tacks, or adhesives that damage walls or surfaces are permitted.

3.5 Music and Noise: Music must end by the time specified in your contract. Client is responsible for any noise violations or fines.

4. Catering and Menu Services

4.1 Menu Selection: Final menu must be selected at least 30 days prior to the event.

4.2 Dietary Requirements: Special dietary requirements must be communicated at least 14 days in advance.

4.3 Outside Catering: Outside catering is not permitted unless specifically agreed upon in writing.

4.4 Food Safety: All food is prepared following strict health and safety guidelines. The Grand Taj is not responsible for allergic reactions if dietary requirements were not properly communicated.

5. Liability and Insurance

5.1 Client Liability: Client is responsible for any damage to the venue or equipment caused by their guests.

5.2 Personal Property: The Grand Taj is not responsible for loss or damage to personal property brought to the venue.

5.3 Insurance: Client is encouraged to obtain event insurance. The Grand Taj maintains liability insurance for the venue.

5.4 Indemnification: Client agrees to indemnify and hold harmless The Grand Taj from any claims arising from the event.

6. Vendor Coordination

6.1 Approved Vendors: All external vendors must be approved by The Grand Taj in advance.

6.2 Vendor Compliance: All vendors must provide proof of insurance and comply with venue policies.

6.3 Vendor Coordination: The Grand Taj will work with your vendors to ensure smooth event execution but is not responsible for vendor performance.

7. Photography and Media

7.1 Photography Rights: The Grand Taj reserves the right to photograph events for marketing purposes unless client objects in writing.

7.2 Client Photography: Professional photographers and videographers must be identified in advance.

8. Event Timeline

8.1 Setup and Breakdown: Setup and breakdown times are specified in your contract. Additional fees apply for extended use.

8.2 Overtime Charges: Events running beyond contracted time will incur overtime fees as specified in the agreement.

8.3 Access Times: Venue access is restricted to contracted times only.

9. Modifications and Amendments

9.1 Contract Changes: Any modifications to the contract must be made in writing and signed by both parties.

9.2 Price Changes: Prices are guaranteed once deposit is received, subject to changes in government taxes or fees.

10. Dispute Resolution

10.1 Governing Law: These terms are governed by the laws of British Columbia, Canada.

10.2 Dispute Resolution: Any disputes will first be addressed through good-faith negotiation. If unresolved, disputes may be submitted to mediation or arbitration.

10.3 Jurisdiction: Legal proceedings shall be conducted in Surrey, British Columbia.
